What are the prices for booths, extra tables and chairs, electricity, etc?
Standard booth package includes: keynote sessions, receptions, and meals for up to two people, 8’ height drape 10’x10’, (1) 6’ skirted table, (2) chairs, 3’ height dividing wing drape, (1) vendor I.D. sign. Other supplies can be ordered for an add'l fee.

All prices are in advance. Additional charges will apply if ordered day of conference. Each meal package will give the exhibitor access to all meals and receptions throughout the conference. Requests for special voltage will be handled on a first come, first served basis due to limited locations and current available.
When will I know my booth assignment?
Booths will be assigned as registrations and payments are received. Care will be taken to avoid locating exhibitors next to competitor’s booths with like products and services. Final booth assignments will be communicated before the conference. Booth assignments will be published in the digital brochure and mobile app.
Are there any requirements for staffing my booth?
Each booth should be staffed with at least one company representative during all Exhibit Hall hours. Please keep in mind that premature tear down of exhibit booths distract from the overall merit of the Conference and could potentially be a safety hazard.
What is the Theme Contest?
There will be a contest for the best booth design that incorporates the conference "HR 2022 Taking You HigheR”. Decorate your booth to encourage attendees to stop and visit. The booth voted as having the best theme display will win $100!
Where is the exhibit hall located?
This year's Conference will be at the Hot Springs Convention Center in Hot Springs, AR. The Exhibit Hall will be in the large hall adjacent to the conference meetings. The Convention Center is located at, 134 Convention Blvd, Hot Springs, AR.
Can I ship exhibit materials and items to the conference?
The Hot Springs Convention Center will not accept your shipment(s) of exhibit items. You can ship exhibit booth pieces to Southwest Design's Advanced Warehouse at 1310 Jackman St. Benton, AR 72150 no later than September 22, 2022 and items will be placed in your exhibit booth in the convention center upon arrival. Fees apply. Contact Southwest Design for more information. Call, email, or visit their website. All items must be labeled with your company name and conference information.
Accessories and freight orders can be placed online at southwestdd.com under the vendor order tab. Orders must be placed by October 10, 2022
Freight can arrive to SW Design starting September 1, 2022, and no later than October 14, 2022. Shipping hours are Monday-Friday 8am to 3pm.
- When placing the freight order please put how many units of freight we should expect and a total weight.
- Freight should be labeled with conference name “ARSHRM” and your company name as it appears on your booth sign.
- If return freight is ordered please package contents at the conclusion of the conference, tape up, and attached your return shipping label. Southwest Design DOES NOT provide return labels. Leave the freight in your booth and Southwest Design will collect it at the end of the conference.
- Exhibitors are responsible for scheduling the pickup of the freight from Southwest Designs office 2 business days after the conclusion of the conference.

Are there incentives for attendees to visit my booth?
Conference attendees are encouraged to visit every booth with participation by each exhibitor stamping a form. Attendees who visit every booth will be eligible for a prize. If you do not wish to participate in the game, please contact our Exhibitor Chair.
When do I set up my booth?
Entrance into the exhibit hall for booth set-up begins Sunday, October 23rd 2pm-6pm and Monday, October 24th 7am-10am All booths must be set up by Monday, 10:45 a.m. when we open the Exhibit Hall for the Attendees.
When will the exhibit hall be open for attendees?
There will be dedicated times on the schedule for attendees to explore the Exhibit Hall. Additionally, the Exhibit Hall will remain open during the concurrent sessions but will BE CLOSED during the General Sessions of the conference. We have a Speaker/Exhibitor Lounge available for you to work in during the General Session/Meal times if you want. Check the schedule to see all dedicated exhibit hall slots.
We are planning a special book signing and mimosa networking event in the exhibit hall on Tuesday morning, October 25th.
When do I take down my booth?
The Closing of the Exhibit Hall is Tuesday, October 25 at 2:15 p.m. Please arrange to keep your booth in tact until the exhibit hall closes as premature tear down of exhibit booths distract from the overall merit of the Conference and could potentially be a safety hazard. Booths must be out of the convention center by 5 p.m. on Tuesday.
Can I announce my booth door prize winner over a loud speaker?
If you desire, booth door prize winners can be announced on the microphone during the closing exhibit hall session from 1:45 p.m. - 2:15 p.m. Please coordinate your drawing with the ARSHRM Exhibitor Chair.
